Dumfries and Galloway Social Work Services – Introducing Magic Notes to Transform Practice

Magic Notes has been introduced for practitioners to instantly create detailed recordings and assessments.

Background

Practitioners in Dumfries and Galloway Social Work Services were spending significant time writing up records and assessments after home visits, meetings, and phone calls. This administrative burden often extended beyond contractual hours, impacting wellbeing and work-life balance.

The idea

The team introduced Magic Notes, a specialised tool enabling practitioners to create records and assessments instantly during visits or meetings. The tool also includes a self-dictation function, reducing reliance on manual note-taking and speeding up documentation.

The process

To support implementation, an Information Sheet was developed for practitioners to share with service users, helping to reduce anxieties about the new technology. An easy-read version ensured inclusivity. This proactive communication was key to building trust and understanding.

The challenges
  • Technology issues: Some mobile phones encountered authentication problems, quickly resolved by the IT team.
  • Connectivity: Rural visits sometimes lacked signal. Magic Notes responded by creating an Audio Recording Pathway, allowing uploads regardless of connection.
  • Embedding the tool: Practitioners needed encouragement to adopt Magic Notes consistently. A friendly competition was introduced, with an engraved trophy and a £20 Amazon voucher for the Magic Notes Champion—a fun way to boost engagement.
The impact
  • For staff: Active users reported case notes being up to date for the first time in their careers. Assessments were completed within timescales, and staff could finish work on time, improving wellbeing and work-life balance.
  • For service users: Longer appointments, proactive follow-ups, and strengthened relationships with other professionals enhanced the quality of care.
  • For the organisation: Reduced administrative tasks freed practitioners to focus on training, professional development, and supporting colleagues—raising overall service quality.
